Part - Time Administrative & Events Assistant

 

Job description:

Cothran Development Strategies is a national trade association management company (AMC) based in Ada, OK. This position works directly with our Association Managers to support the day-to-day operations of various client trade associations. These associations represent businesses, organizations and professionals in a specific industry or sector, and the Administrative & Events Assistant plays a crucial role in helping with administrative tasks and event preparation for various clients.

 

Key Responsibilities:

 

Administrative Support

  • Manage databases, track membership renewals, and maintain records.

  • Help with invoicing, outstanding renewal follow up, and other administrative tasks

  • Help with mailings, data research and other misc. duties

  • Respond to member inquiries, help resolve issues, and maintain positive relationships with members.

Event Planning and Coordination

  • Assist in organizing conferences, workshops, webinars, and other events.

  • Coordinate logistics such as venue booking, registration, and materials

  • Support marketing and promotion of events to drive attendance and sponsorships.

  • Periodically part of on-site staff at annual conventions and events

 

Qualifications:

​

  • Education: Bachelor's Degree or in pursuit of degree

  • Experience: Minimum of at least one year in professional office environment working successfully in Google Docs, Excel, Microsoft Word,etc.

  • Required Skills: Strong written and verbal communication skills, ability to successfully work independently, multitask and adhere to deadlines, attention to detail, time management, and high proficiency in office software (Microsoft Office Suite, Zoom, other project management tools). Must be well versed and have vast experience working in Google Documents, Google Drive and Dropbox.

  • Other Attributes: Ability to work independently and MOST IMPORTANTLY, as part of a team and be eager to help others: This is a fun, friendly, family like environment so person must be proactive, positive, upbeat and have a great attitude along with problem-solving skills.

* 20 hours per week with possible opportunity for more for the right person

* must be able to travel to 1-2 events throughout the year.

An Association Management Company (AMC) is a professional services firm that provides administrative, operational, and strategic support to membership trade associations, professional societies, and other nonprofit organizations. Instead of hiring their own full-time staff and maintaining offices, these organizations contract with an AMC, like Cothran Development Strategies, to handle day-to-day operations and long-term growth.

 

$20-$25 per hour based on experience
