Membership & Events Assistant

 

Cothran Development Strategies is a national trade association management company based in Ada, OK. This position works directly with our Association Managers to support the day-to-day operations of various client trade associations. These associations represent businesses, organizations and professionals in a specific industry or sector, and the Membership & Events Assistant plays a crucial role in providing member services, helping with the details & coordination of industry trade shows and events, and helping with various administrative tasks.

Key Responsibilities:

​

Member Support and Relations:

  • Works in Membership Excel and Access databases to manage/record/input data and prepare reports

  • Responds to member inquiries, resolves issues, and maintains positive relationships with members.

  • Helps with the renewal process of members and assists in recruiting new members for various client trade associations.

Event Planning and Coordination:

  • Assists in organizing annual conferences, workshops, webinars, and other events.

  • Helps coordinate logistics such as venue booking, registration, and ordering of materials

  • Supports marketing and promotion of events to drive attendance and sponsorships.

  • Periodically part of on-site staff at annual conventions and events

Administrative Support:

  • Helps prepare communications (newsletters, emails, etc.) to members.

  • Helps with invoicing, recording and other financial administrative tasks

  • Assists with mailings, data research and other misc. duties

 

Qualifications:

​

  • Education: Bachelor's Degree required

  • Minimum of 2+ years of trade association experience, corporate event planning, fundraising, finance or a related field

  • Proven experience in event planning including logistics, and execution.

  • Strong organizational and time management skills with the ability to handle multiple projects simultaneously

  • Excellent attention to detail and a proactive approach to problem-solving

  • Ability to communicate articulately and negotiate with vendors

  • Strong communication and interpersonal skills

  • Ability to work independently while collaborating effectively with internal teams and external partners

  • Willingness to travel for events as required (2-4 annually)

  • Exceptional organization and time management skills

  • Experience working cross functionally in a fast-paced environment.

  • Strong written and verbal communication skills

  • Successfully adhere to deadlines

  • High proficiency in office software (Microsoft Office Suite, Zoom, other project management tools).

  • Must be well versed and have vast experience working in Google Documents, Google Drive and Dropbox.

Hours 8am-4:30pm (Flexibility with productivity, not hours worked, being the benchmark for success)

​

$45,000- $55,000 Starting Salary with Competitive Benefit Package
